AI for SMBs:Finding Signal in the Noise AI interest was relentless through 2025. If you’re feeling the pressure to do something with AI, but don’t know where to start then this is one way in which I think about it. Most SaaS vendors have made the pivot to be an AI powered SaaS service. If you’re already on the platform, it’s usually fine. The improvements are welcome. It’s not too often the AI addition is getting in the road of how it’s already being used. Naturally Ohnyx has been on the journey with Microsoft’s Copilot. Looking at 2025 as a whole Copilot has shown improvement. The quality is inconsistent, but pull in files to generate summaries, cross analysis from within OneDrive, Teams, and SharePoint is quite handy. Where AI Delivers Real Value – And Where It Doesn’t Enterprise level organizations – the government, banks etc – benefit from AI. A 1-2% improvement across 1000’s of people is a decent gain. A PwC report showed revenue per employee jumped 27% in AI exposed industries between 2018 to 2024. This is a measurement of large enterprise. It’s a different story at the small business level. The government has some 200+ AI use cases now. A small business won’t find it’s ROI through scale like enterprise. And over investing in AI can show a negative return, such as 8 disconnected AI tools which adds to training overhead, administration, subscription creep, and context switching. Think instead about a well integrated system, driving and supporting every day workflows. Handling document intake, extracting data, drafting reports, and then pinging clients or staff with an update. Start With Automation, Then Let AI Do the Heavy Lifting An example might be a broker converts their existing client list into a database. An AI agent monitors renewal dates and triggers a workflow a month or two out. Pulls the clients policy terms, updates against market rates, drafts a comparison report highlight key points, and sends it to the broker. A small business may find the scale benefits this way through allowing the policy per broker ratio to increase. Most of what was just described is automation. The AI part kicks in for pattern recognition, drafting, summarising. Tasks which previously needed a human in the loop. Anyone on Microsoft 365 already has the backbones for automation available to them. If you’re an owner or manager feeling pressure to explore AI, it’s normal to feel unsure about where it actually fits in amongst the marketing hype. The use cases and statistics are often enterprise scale, and the practical path for a 10-20 person business isn’t obvious. Start with the workflows that already frustrate you. The ones with manual steps, repeated tasks, or information that sits in someone’s head until they remember to act on it. That’s where automation pays off. AI just makes it possible to include steps that used to need a person, such as reading a document, drafting a summary, reporting back with data, spotting what’s changed. You know when AI is working when it’s taken stuff off your plate. AI Workplace Policy

Crafting a Responsible AI Policy for the Modern Workplace Like many businesses, your team is most likely using, or discussing, AI. The opinions remain wide ranging with some people refusing to engage, while others – and enterprise! – are fully committing. What I want to suggest, and you can skip straight to the bottom and fill in the form if you like, is taking AI seriously enough to adopt an AI policy for your workplace. One area I use it is the gym. I’m not a physiologist, or a trainer, but I know what I want to achieve, I just don’t know how. Using a tool like Perplexity or ChatGPT gives me the means to scan whitepapers, collate perspectives from experts in the field, test my theories against a simulated point of view (such as Dr Mike). I recently connected my Hevy app to ChatGPT which gives access to my actual training data. This not only improves the AI results, but I can discuss what I want (for example, bicep curls – yes, face pulls – no). It will then go create the routine in Hevy. It saves me the time researching by keeping me better informed, does the data entry work, and I feel more versatile ‘when’ I turn up to the gym. There are plenty other uses like this. When it comes to business you want to encourage the use of AI – especially for your experts and admin staff. Most businesses have staff already using AI – what we call shadow IT. That’s where information technology is being used within an organization without explicit organizational approval, oversight, or awareness. These people are, benefit of the doubt, wanting to be more productive in their work. Make these people champions as they can provide insight, and ideas, into how to make AI best work for you. You want to do this within the framework of a workplace policy. A good policy will cover what tools to use, who approves it, real-work scenarios. It also protects the company against brand damage, cyber security, potentially leaking personal/client data and IP loss. Businesses should always keep in mind how to protect their company data. An AI workplace policy will support both benefits of AI, while mititgating the risk from the cons. What I suggest is you get an AI policy put in place which tells the organization the overall stance on AI. Find the people using it already, and see if their use cases present real opportunities. Then include those in the AI policy, and have them become champions on it. The policy should also contain what ‘not’ to use it for. This should better protect you from the risks outlined above. What Is An MSP? (and do you actually need one?) Change occurs when the pain of staying the same becomes greater than the pain to change. Let’s be honest—running a business means wearing a lot of hats. Some fit well, others feel like a stretch, and a few are just plain frustrating. Unless you genuinely enjoy tech, managing your company’s IT is probably one of those hats you’d rather not wear. What starts as a few email accounts and some productivity tools can quickly snowball into cybersecurity, customer data protection, server maintenance, updates, backups, insurance, and the occasional $500 headset that decides to stop working. And let’s face it—you’ve got better things to do. That’s where a Managed Service Provider (MSP) comes in. MSP = Managed Service Provider An MSP is an IT company which has structured itself to manage the IT of other businesses through service plans. The plan outlines what’s needed to keep your systems running smoothly and securely, charged at a monthly fixed fee. An IT company not setup as an MSP is most likely operating on a “break-fix” model. You call them when something breaks, they respond. There is often no monthly fixed fee, so it can seem cheaper. Over time, if you’re not looking after it adequately, your IT will suffer from lack of maintenance, inefficiences through down time and lack of expertise in areas, missed updates, and security gaps. With an MSP, you get proactive care—your computers, network, and servers are patched, monitored, and managed without you needing to think about it. The aim should be to ensure your IT is always running, with any breakages resolved more efficiently than you could yourself. Your business = the car IT = the engine MSP = the mechanic who keeps it tuned, reliable, and ready to use as needed Why Consider an MSP? At some point, every business needs to rethink how it handles IT. You’ve got three options: Keep doing it yourself (or delegate to Jeff in finance or Linda in marketing). Hire an internal IT person. Partner with an MSP. Hiring internally can work—but it’s another salary, and it’s tough for one person to stay across the ever-changing tech landscape. They’ll be good at what they know, and will get familiar with your setup. They won’t know what they don’t know, and will miss broader trends, security shifts, and often underdeveloped in some areas which would be beneficial to the business objectives if known. How to spot hidden malware on your devices In today’s digital age, protecting your devices from malicious software, commonly known as malware, is more important than ever. Malware is designed to harm your device or steal your data, and it comes in many forms, from viruses and Trojans to ransomware. Understanding what malware is, how it spreads, and how to protect yourself from it is crucial for maintaining your digital security. In this blog post, we’ll explore the different types of malware, how they can infect your devices, the signs to watch out for, and the steps you can take to safeguard your data and stay safe online. Together, these basics will help you better understand the risks and how to reduce them. When it comes to malicious cyber activity we see a number of terms through around in the media. While they’re all malicious, they all work a bit differently. Because of this, thought we’d cover a few of the big ones. Malware Short for “malicious software”, malware is a broad term used categorize any software which is intended to subvert a device for malicious purposes. This includes viruses, worms, trojans, stealers, ransomware, and spyware. Viruses Viruses will spread from device to device. They can destroy your files or make your computer run really slow. A virus attaches itself to a legitimate program or file and replicates itself when the infected program is executed. As a result, this can lead to widespread damage as the virus spreads to other devices through networks, email attachments, or shared files. Some viruses are designed to cause minimal harm, while others can be highly destructive, corrupting data and rendering systems inoperable. Trojans / RAT Disguised as legitimate software, and can be installed in the background while viewing something different (e.g. PDF from email). Once installed it provides backdoor access to the device for malicious actor(s). Provides access to the device. Ransomware Will encrypt and prevent access to files. This can affect a shared server, device, or cloud. Typically a request is made at the same time for payment with details. Fileless Malware Will act maliciously by using system memory, and other programs, rather than installing it’s own software. Even so, it still uses software and files, but not its own. Emerging Threats – AI-Powered Attacks A recent survey reveals 60% of global IT experts consider AI-enhanced malware the most concerning AI-generated threat. Traditional malware relies on pre-programmed instructions, which makes it predictable on analysis. AI-enhanced malware is able to adapt and change it’s techniques. It’s more sophisticated. Deepfakes Most people will have heard about the Hong Kong deep fake from last year. Deepfake technology is rapidly advancing, with an estimated 8 million video and voice deepfakes expected to be shared on social media in 2025. How Does Malware Commonly Get on Your Device? Cybersecurity: What to do if you have a Data Breach One of the most frequently asked questions we get here at Ohnyx is about cybersecurity. Receiving a notice that your data has been breached can be alarming. Unfortunately, data breaches are common, affecting banks, online platforms, ecommerce stores, and even governments. This can expose your personal information, like your address and credit card details to thieves. While you can’t control a business getting hacked, you can take important steps to protect yourself and minimize financial losses. Here are some essential actions to take if you find yourself in this situation. When it happens, you feel powerless. You get an email or letter from a business saying someone breached your data. It happens all too often today. Data breaches happen at banks, online sites like Facebook, and ecommerce stores. Not only that, but governments are also victims. This leaves things like your address and credit card details exposed to thieves. A business getting hacked is something you have little control over. But you can take important steps afterwards. We’ve outlined the most important things to do below. These steps can help you mitigate the financial losses. 1. Change Your Passwords The very first thing you should do is change your passwords. Change the password for the service that sent you the breach notification first. Then, change it for any logins using the same password. This is one of the reasons it’s a best practice to use unique logins for every site. Many people get in the habit of using the same password in several places. This leaves more than the single breached login at risk. Use a password manager to help you create strong passwords. You only need to remember one to access all the others. 2. Enable Multifactor Authentication (MFA) Multifactor authentication can keep accounts secure, even if a hacker stole the password. Enable it for the breached service. Then, ensure you have MFA activated for all other logins, where possible. MFA is also called two-factor authentication or two-step verification.Common forms of MFA are: Text message Authentication app Security key Check Your Bank Accounts If payment card details were breached, check bank accounts. You’ll want to watch these for several weeks for fraudulent charges. Report the breach to your bank to have them issue you a new card, if needed. Notify your bank about the 3rd party data breach. This can help keep you from being held responsible for fraudulent charges. It’s good to get out ahead of it. Your bank can then help you with appropriate steps to avoid fraud. 3. Carefully Review the Breach Notification It’s important to understand exactly how the data breach may impact you. These are the things you should be looking for: The type of data exposed (passwords, card numbers, etc.) What reparations the company is making (e.g., credit monitoring) Any instructions given to secure your account Regularly check the company’s website. Often, they don’t immediately know how far reaching the breach is. You may check back later and find out other types of sensitive data were exposed. 4. Get Good Cybersecurity Protections Make sure you protect your device and network. There are some simple tools you can use to beef up personal device security. These include: A good antivirus/anti-malware program DNS filtering to block malicious sites Email spam filtering for phishing Another good protection you can use is a VPN. This helps mask your traffic. It is especially helpful if you’re using a public Wi-Fi. VPNs are easy to use. You can use VPNs for both computers and mobile devices. 5. Be On the Lookout for Phishing Scams Emails are often exposed in data breaches. This means you may receive an uptick in phishing emails. Phishing is very convincing since criminals have AI at their disposal. Phishing emails often are hard to spot from the real thing. Stay ultra-aware of any unexpected emails. Follow best practices to avoid becoming a phishing victim: Hover over links to see them Go to websites directly. Don’t click email or SMS links Beware of unknown senders Watch for phishing on social media and text messages When in doubt, double check through an official source Make sure to update software & systems Hackers often exploit unpatched vulnerabilities. How do you get unpatched vulnerabilities? Most times it’s from failing to keep software updated. Make sure to update your device operating system. Update all apps or software on your devices. AI: Evolution in Technology A discussion on OpenAI, Copilot and what it can provide for your business. It was a great turn out for a cold winter evening last week for the AI: Evolution in Technology event in collaboration with Tupu Ana at Ten O’Clock Cookie in Masterton. With over 40 of us packed into Ten CC to enjoy delectable treats and great company, everyone was ready to hear about OpenAI, Copilot and what it can provide for your business. Presented by Philip Harvey, Ohnyx’ Director of Technical & Operations, Philip discussed how AI has already been a part of our lives for the past 15 years. AI is turning up everywhere now, but what’s new is how we can use it, not AI itself. OpenAI has opened the doors to numerous opportunities with its new innovative AI modelling. One such innovation is Microsoft taking OpenAI’s model and using it in their workspace under the name Copilot. Philip did a brilliant job demystifying Copilot for 365. He explained Copilot works best as a tool in the hands of an expert, doing 60% of the work. Covering off the hard yards. You will still need to do other 40%. This includes fact checking, tweaking the voice to be suitable for your audience, and of course adding your own flare. Copilot is set to create labor efficiencies, the look and shape of this depends on your business. Key questions to ask yourself are: What do I want to do more of? What do I want to do less of? What are the pain points? The presentation focused on broad questions and demonstrating Copilot live with audience interaction. Looking at how these efficiencies can be gained in your company will require a more in-depth discussion. Philip cautioned the need to ensure your Microsoft Tenancy (organisation data) is ready for Copilot. Data needs to be ring fenced and permissions checked, such as finance and human resource data. Copilot will scan all accessible data and provide access where permissions allow. The live demo was the most impressive part of the night. Philip requested suggestions from the audience to challenge Copilots creative abilities. In no time, complete Word essays and PowerPoint presentations were generated on these topics; sausage rolls, garden gnomes, and the strengths and weakness of the New Zealand Electoral system. Each PowerPoint had professional design, content and photos that matched the topic. It was incredible to see how fast you could go from a concept to a full presentation. This is just one example of the benefits your company could achieve.
